Hold Release Management

Releasing legal holds when they are no longer needed is just as important as implementing them. Unnecessary holds consume IT resources and create ongoing administrative burden. When a hold is released, AI generates release notices, updates the hold database, and notifies IT that the preserved data can return to normal retention schedules. This ensures a clean audit trail showing that holds were released appropriately.

Reporting and Defensibility

If a court ever questions the adequacy of the preservation effort, the legal team needs to demonstrate that it took reasonable steps to preserve relevant evidence. AI-generated reports documenting the entire hold process, from custodian identification through acknowledgment tracking to ongoing compliance monitoring, provide the kind of detailed, timestamped record that supports defensibility arguments.

These reports can show exactly when each custodian was notified, when they acknowledged, what reminders were sent, and what monitoring was performed. This level of documentation is difficult to maintain manually but is generated automatically by AI-powered hold management systems.
