How AI Handles Accessorial Charge Validation for Detention, Layover, and Lumper

Accessorial charges are the line items on a freight invoice that go beyond the basic line haul rate. Detention (waiting time at pickup or delivery), layover (required overnight wait between pickup attempts), lumper fees (third-party unloading labor), and dozens of other accessorials add up quickly. They are also among the most frequently disputed charges because the documentation supporting them is often thin.

AI validation brings objectivity to a process that has traditionally relied on driver self-reporting and carrier assertions.

Detention Charge Validation

Detention is the most common accessorial dispute. The carrier says the driver waited 4 hours at the facility. The shipper says it was 2 hours. Without objective data, the dispute becomes a credibility contest.

AI validation systems cross-reference detention charges against multiple data sources: GPS geofence data showing when the truck arrived at and departed from the facility, ELD data showing the driver duty status during the alleged detention period, facility check-in and check-out records if available, and appointment scheduling data showing the scheduled versus actual dock time.

When these data sources align with the carrier claim, the charge is validated. When they contradict it, the discrepancy is flagged with the specific evidence. A detention charge for 4 hours that GPS data shows was actually 90 minutes gets disputed automatically with the supporting geofence records attached.

Layover Validation

Layover charges apply when a driver is required to wait overnight, typically because the pickup or delivery appointment was missed and the next available appointment is the following day. AI validates layover charges by confirming that the original appointment was missed and identifying the reason (was it the carrier running late, or did the facility reschedule?), verifying that the next available appointment required an overnight wait, and confirming that the driver remained in the area as required rather than taking other loads.

The validation also checks whether the layover was caused by a factor the shipper controls (facility scheduling problems, dock congestion) or a factor outside the shipper control (carrier dispatching error, driver HOS issues). This distinction matters for determining who should bear the cost.

Lumper Fee Validation

Lumper fees are charges for third-party labor to unload a trailer, common at grocery distribution centers and certain retail facilities. AI validates lumper charges by confirming that the delivery facility is one that typically requires lumper services, verifying that the charged amount is within the normal range for that facility (AI maintains historical lumper fee data by facility), and checking that the charge was authorized per the terms of the shipping contract.

Lumper fee overcharges are surprisingly common, and the amounts can be significant. A facility that normally charges $200 for unloading but invoiced $400 on a specific delivery gets flagged for the discrepancy.

Accessorial Rate Table Compliance

Many carrier contracts include specific rate tables for accessorial charges. Detention might be billed at $75 per hour after 2 hours of free time. Layover might be a flat $350 per occurrence. AI systems verify that the charged rates match the contracted rates, catching instances where a carrier applies their standard accessorial rates instead of the negotiated contract rates.

This rate table compliance check is important because carriers often have different rate tiers for different customers, and billing system errors can cause the wrong tier to be applied. The difference between a standard detention rate of $100 per hour and a negotiated rate of $65 per hour adds up across hundreds of shipments.

Proactive Accessorial Management

Beyond validating charges after they appear on invoices, AI helps manage accessorial exposure proactively. The system identifies facilities with consistently high detention times so the shipper can address the root cause. It flags carriers that generate an unusual volume of accessorial charges compared to peers on similar lanes. And it estimates the financial impact of accessorial trends so management can prioritize improvement efforts.
